Set rejection routing for an approval group

Configure rejection routing so that rejected documents land in the right place for follow-up — back to the bookkeeper, to a dedicated email address, or into quarantine.

Where: Approval flow → Groups and settings → open a group → Permissions section → Rejection routing

  1. In Approval flow → Groups and settings, locate the group you want to configure and click to open its edit panel.

  2. In the Permissions section, find Rejection routing and choose one option:

    Send to bookkeeperThe rejected document returns to the bookkeeper group. The bookkeeper sees the rejection reason, corrects the document, and re-sends to approval. This is the default and the most common choice.
    Reject to emailThe document is archived with rejected status and the PDF is emailed to an address you configure. Use when rejections must go to an external party or a separate compliance mailbox.
    Send to quarantineThe document goes to the Quarantine tab instead of the bookkeeper. Use when rejections should always be handled by an admin, or when there is no dedicated bookkeeper role.
  3. If you selected Reject to email, enter the destination email address in the field that appears.

  4. Click Save (or the equivalent save action in the group panel) to apply.
