How search works in Nordflow

Nordflow gives you two distinct ways to search, and they answer different questions.

The magnifying glass on each column header searches one attribute at a time. Filters on different columns combine — a document only stays in the list if it matches all of them — and the counter at the bottom of the list updates immediately with the number of matching documents and their total amount. Use it when you can name the property you are restricting: “only my office-supplies supplier”, “only this month”, “only these projects”.

The Search field

The Search field at the top of the overview runs across all structured fields on every document at once. Type a term and you get every document where it appears as a supplier, in the document number, in the project — anywhere it has been recorded. This is the right search when you remember something about an invoice but not which field it lives in — “the invoice where we bought a laptop”.

The OCR toggle

Next to the Search field is a toggle labelled OCR. With it off, search runs only against the structured fields. With it on, the search additionally looks inside the full text the data-capture engine extracted from each PDF — line items, descriptions, the supplier address and any other printed text. That is how you find a document by something that never appears in a structured field, such as a single product line deep inside a long invoice.

Where search works

Both the Search field and the OCR toggle work in the Approval tab (active documents) and the Archive tab (completed documents). Per-column search works in both tabs too. Search is substring-based, so partial words match.
